Give each client a Project Folder. Interview notes, transcripts, drafts and the final report all live there, and the useful conclusions go into Journal as you work.
Build the playbook as you go
A scheduled Flow reads what was added this month and updates one shared playbook: the problem, what you tried, what worked, what did not.
Ask the firm, not a person
Starting a new engagement, ask for similar past work. You get a summary with pointers back to the original notes, so you can check the detail yourself.
You stay in charge
Client confidentiality is yours to set. Keep each client in its own folder, and share only the lessons you choose with the wider team.
The tenth engagement is faster than the first, and the person who joined last month can answer like someone who has been there for years.
