A contractor quoting jobs from scattered enquiries

From scattered enquiries to a quote you can send.

The enquiry is in an email, the photos are on your phone and the measurements are in your notes. Luminair puts them together and drafts a quote from your own prices.

Here is the email from the customer, the site photos and my notes from the visit. Write a quote using my price list: each item with its price, what is not included, and the questions I still need to ask. Draft the reply email but do not send it.

The problem

The enquiry came in over email, the site photos over text, and the measurements are somewhere in a voice note from Tuesday. Before you can quote, you have to reconstruct the job from three different places.

Try it yourself in Luminair

Six steps. No setup beyond the AI plan you already have.

  1. 1

    Install Luminair and sign in

Download Luminair and open it. Go to Settings → Models → Add account and sign in with an AI plan you already pay for, like Claude, ChatGPT or Gemini.

  2. 2

Make a folder for this job

In the sidebar, choose New folder… and name it “Quotes”. Then choose New session in this folder. Everything for this job stays together.

  3. 3

    Bring the information in

You need: enquiry email, site photos, visit notes and your price list. Connect Gmail, Zoho CRM, Airtable and Fathom in Settings → Connectors, or export the files and drag them into the chat.

  4. 4

    Ask for the result

Paste this into the session, or say it in your own words:

Here is the email from the customer, the site photos and my notes from the visit. Write a quote using my price list: each item with its price, what is not included, and the questions I still need to ask. Draft the reply email but do not send it.
  5. 5

    Get a second opinion

Pick a different model in the model picker and ask it to check the first answer:

Look at the photos again. Is there work here that the quote does not cover?
  6. 6

    Make it repeat

Open Flows → New and add the steps: Read new enquiries → List the scope and open questions → Draft the quote and reply. Choose when it runs, like every Monday at 09:00. Nothing is sent or changed until you approve it.

How it plays out

Put the job in one folder

Make a folder for the customer. Drop in the enquiry email, the site photos, your visit notes and your price list. If the enquiry is in Gmail, connect Gmail in Settings → Connectors instead of forwarding it.

Ask for the quote and a second look

Ask for an itemised quote from your own prices, with unclear quantities marked instead of guessed. Then switch model and ask it to check the quote against the photos for anything left out.

You check it, then send it yourself

Confirm measurements and dates, then send the reply from your own email. Save your price list in Journal once, so every new quote starts from it.

You stay in charge

Luminair never guesses a measurement from a photo or sends anything on its own. You confirm the numbers and the price before the customer sees either.

The next quote for a similar job starts from this one, not from a blank page.
