A bookkeeper closing out a client’s file

Ask for the missing document. Just once.

The client sent nine of twelve documents across four emails. Luminair ticks off what arrived and writes one request for only what is still missing.

Here is my checklist for this client and every email they sent with attachments. Tick off what arrived, tell me which file matches each item, and write one short email asking only for what is still missing or unreadable.

Client emails with attachmentsYour document checklist
  1. Claudesorts each attachment by type and date
  2. Codexticks them off against your checklist
  3. Geminichecks the request before it goes out
You get

Client file, checklist

  • 9 of 12 items matched and verified
  • 1 item unreadable: bank statement page 2 missing
  • 2 items genuinely outstanding, request drafted

The problem

The checklist needs twelve documents. Nine arrived, spread across four emails, two of them renamed so it is not obvious which is which. The client thinks they sent everything.

Try it yourself in Luminair

Six steps. No setup beyond the AI plan you already have.

  1. 1

    Install Luminair and sign in

Download Luminair and open it. Go to Settings → Models → Add account and sign in with an AI plan you already pay for, like Claude, ChatGPT or Gemini.

  2. 2

Make a folder for this job

In the sidebar, choose New folder… and name it “Client file”. Then choose New session in this folder. Everything for this job stays together.

  3. 3

    Bring the information in

You need: client emails with attachments and your document checklist. Connect Gmail and Airtable in Settings → Connectors, or export the files and drag them into the chat.

  4. 4

    Ask for the result

Paste this into the session, or say it in your own words:

Here is my checklist for this client and every email they sent with attachments. Tick off what arrived, tell me which file matches each item, and write one short email asking only for what is still missing or unreadable.
  5. 5

    Get a second opinion

Pick a different model in the model picker and ask it to check the first answer:

Before I send this, check every item on the request. Did the client already send any of them?
  6. 6

    Make it repeat

Open Flows → New and add the steps: Read new attachments → Tick them off the checklist → Draft the request for what is missing. Choose when it runs, like every Monday at 09:00. Nothing is sent or changed until you approve it.

How it plays out

Put the checklist and the emails together

Make a folder for the client and drop in your checklist. Connect Gmail in Settings → Connectors so Luminair can read the attachments they sent, or drag the files in.

Ask what is still missing

Ask which items arrived, which file matches each one, and which are unreadable. You get one short request for only what is genuinely missing.

Check, then send once

A second model checks the request so you never ask for something they already sent. You send it from your own email, and close each item only after you have looked at it.

You stay in charge

You confirm what actually counts as received. The request only goes out after someone checks it is accurate.

One precise ask instead of three vague ones, and Journal remembers what this client already sent.
